Wild West WinterFest
August 18, 2005
Morning Meeting at Bill’s Grill in Belgrade
(As approved at September 15, 2005 Meeting)


ATTENDANCE:  Skip Hougland, Sue Shockley, Gary & Vikki Taylor, Al Lien, Sandra Fiegi, Connie Garrett, Sonja Berg, Travis Burian and Karlene Pisarcik.

1.      CALL TO ORDER:  Connie called the meeting to order at 7:19AM.

2.      MINUTES:  Skip moved to approve the June 16, 2005 minutes as presented.  Sue seconded.  All in favor.  Motion carried.

3.      FINANCIAL:  Sue reported we made money at the last WinterFest.  This will be our 4th annual event.  Everyone except the Zebra has paid us and we’re working on getting that money.  A profit and loss statement was presented to the committee.  Sue moved to make a recommendation to the Fair Board to keep the button price the same as last year - $6.00 in advance and $7.00 at the gate.  Sandra seconded.  All in favor.  Motion carried.

4.      MARKETING:  Sue reported that Travis and Harry are going to help us with sponsorships.  We’ll be looking over the sponsorship packages soon.  We’re looking at combined sponsorships  which would include the Fair.  We’ll probably have a plan by the next meeting.  Sue stated that Travis and Harry have a contract with the Foundation to raise money for improvements at the Fairgrounds.  This contract also covers sponsorships for the County Fair as well as for Wild West WinterFest.  Travis and Harry are also working on a VIP promotion for the Michael Martin Murphy concert as well a venue for the proposed Event Center.  Sue said that we’ll try to get as much free advertising to make our dollars go as far as possible. We’re on the Internet and that helps – and it’s free.  Gary reminded everyone that we’ll burn up the radio in advertising too plus the distribution of posters and flyers will boost advertising.  The bottom line is we need to take care of each and every one of our sponsors for both Wild West WinterFest and the County Fair.  

      We’re definitely going to add Monday to our event and that particular day will be mostly horse events.  After a
      discussion Sue moved to open WinterFest at 11AM on Friday.  Gary seconded.  All in favor.  Motion carried.

5.      AG IN THE CLASSROOM:  Todd was not present to report but Sue said she would speak with him about possibly having this event on Friday only.

6.      McLIEN’S FFA FARM BARN and MINI AG SEMINARS:  Skip stated the seminars were a big flop.  The presenters were unhappy because there were no visitors to speak with.  Theme for Farm Barn is hay forage and livestock feed.  We need to have more animals exhibited in this barn.  There will still be a Farm Barn committee consisting of Al, Skip, Janalyn and Sue.  

7.      COWBOY INDIAN CAMP:  Gary stated that next year they still have plans to add more teepees, do packing demonstrations and have a cowboy and Native American artist.  He’ll also be having cowboy poetry.

8.      OFFICIAL BEVERAGE CONTEST:  Karlene spoke with Cheryl Caton, the winner of last year’s contest, and she said she would gladly enter again next year as well as help us get the information out to other bartenders.  Connie said that she and Todd would like to be judges again.  

9.      INDOOR/OUTDOOR EXHIBITORS:   We’ll be sending out information to our vendors soon.  Insurance coverage will probably be an issue but Sue said she would check into it.

10.     ENTERTAINMENT:  Gary stated that he would be putting on a Friday night concert featuring Michael Martin Murphy and that it’s a done deal.  This concert would be at no cost to us.
 
11.     FOOD CONCESSIONS:  We’ll be sending out the applications to these vendors soon.  We need more than we had last year.

12.     KIDS ACTIVITIES:  We are planning on doing the Children’s Art Show and Karlene said she would do the Sandy Candy Art.  We’re still waiting to hear if 4-H will become involved in WinterFest.

13.     DOG KEG PULL CONTEST:  Connie said everything is under control and that she and Todd would run this again.  Connie spoke about possibly doing a mile sprint course. They would like to see a food concession at their location.

14.     BOZEMAN LIONS – PEOPLE BARN:  No report.

15.     CHILI COOK-OFF:  This event may be expanded for next year.

16.     DOG EVENTS:  Nancy is working on these.

17.     CHILDREN’S ART SHOW:  It’s a go.

18.     QUILT SHOW:  Karlene said she would do this again next year.

19.     PHOTOGRAPHY SHOW:  Will do again.

20.     HORSE SALE:  Sue spoke with the new owners of the livestock yard and they are happy to work with us.  This event will be on Saturday.

21.     AUTO ICE RACING:  No report.  Sue will speak with the Mountaineers.
22.     RABBIT/POULTRY SHOWS:  Sandra is still planning on doing this show.  She said the rabbits will be there too and the shows will be on Saturday.

23.     HORSE PLAY DAY:  This show will be moved to Monday.  There will be a sub- committee for Horse Day consisting of Sonja, Connie, Sue, Skip, Gary Taylor and Vikki Taylor.

24.     TACK SWAP:  This will be moved to Monday.

25.     WORKING HORSE & DRIVER CONTEST:   This show will be moved to Saturday.

26.     BAHA HOCKEY TOURNAMENT:  Good to go.  Buttons are still an issue with this group.  Sue will talk to Rob Pertzborn to see if we can resolve the problem.  

27.     KID’S FOOT & WHEEL CHAIR RODEO:  This event is a go for Sunday.

28.     OTHER BUSINESS:  None

29.     ADJOURNMENT:  Meeting was adjourned at 8:19AM.

30.     NEXT MEETING DATE:  Our next regular meeting is Thursday, September 15th, 7AM at Perkins Restaurant.  The Horse Committee will be meeting next on Tuesday, August 23rd, 7AM at Perkins Restaurant.
