Wild West WinterFest
December 15, 2005 Minutes
(as approved at the January 12, 2006 meeting)
ATTENDANCE: Skip Hougland, Connie Garrett, Todd Saunders, Sue Shockley, Debbie Holwegner, Karlene Pisarcik, Gary & Vikki Taylor, Carter Benedict, Al Lien, Todd Kesner, Travis Burian, Sonja Berg.
1. CALL TO ORDER: Skip called the meeting to order at 7:10 a.m.
2. APPROVAL OF MINUTES: Sue moved to approve the November 17, 2005 minutes as presented. Carter seconded. Motion carried.
3. FINANCIAL: Nothing new to report.
MARKETING: Travis reported they have received in-kind and cash sponsorships totaling almost $10,000. The marketing committee is working on a survey to hand out at WinterFest. Sue stated that Harry and Travis are doing a terrific job. Posters are done and everyone needs to take a few to distribute around the area. Connie said the Real Estate Weekly will begin running a “countdown” ad.
4. PET TRICKS and CONFORMATION: No report.
5. DOG KEG PULL CONTEST: Connie reported they are good to go. There will be a “dog roast” (food) one hour before this event begins. Sponsors currently are West Paw, Nova Café, Bridger Feeds and Ale Works.
6. AG IN THE CLASSROOM: Todd reported things are pretty much ready to go. Todd will call Dean Folkvord regarding teaching a class. Carter will teach a Ag culture business class relative to farm equipment. Carter is going to pass this along to Klaas Kloosterhof.
7. McLIEN’S FFA FARM BARN: Sue spoke with Janalyn Larsen and it appears that FFA may not be helping us for WinterFest. She and Travis are trying to get the AGR kids to help out if the FFA can’t be there.
8. HAY SHOW: Skip and Al will go around and get approximately 10 hay samples. Al will follow up on obtaining judges and see if the irrigators will sponsor the Hay Show. There is going to be 1st, 2nd, and 3rd placings.
9. COWBOY GATHERING: Carter gave Sue a list of poet performers, their time schedule and their needs. Performances will be in the tent on Saturday afternoon. He also has people interested for Cowboy Church on Sunday. Skip suggested videoing this event (after all have signed off) and have a DVD made and offer this for sale. Carter requested a special button for the Cowboy Gathering performers, if we have the means to do so.
There is a link on the Fairgrounds website for the youth poetry which includes information and entry form. This is also in the 4-H newsletter. There are some kids signed up.
10. WESTERN UNDERGROUND CONCERT: Gary reported the posters will be distributed very soon. He will be on XL Country twice a week to promote the concert and WinterFest. Band members will be interviewed in January. Pete Hanson will be the MC.
11. COWBOY INDIAN CAMP: Gary stated they are good to go and will get their schedule to Sue.
12. HORSE PLAY DAY: Ready to go.
13. OFFICIAL BEVERAGE CONTEST: Travis reported they are expecting to get 20 bars entered. He and Harry are trying to get Cardinal Distributing involved.
14. INDOOR/OUTDOOR EXHIBITORS: Karlene reported we have 5 indoor exhibitors, 2 outdoor exhibitors and 3 food vendors.
15. HORSIN’ AROUND DAY: Sue reported it’s coming together, but still needs work.
16. OUTDOOR EVENTS:
Ski Joring: Connie reported no ski joring.
SCS: Sue reported she is still trying to get SCS to do something for WinterFest. We need to find some event for Sunday to draw people in. Harry and Travis will check with local snowmobile dealers to see if they would bring in hot sleds and do demonstrations.
17. LIVESTOCK SHOW: Sue hasn’t heard from Nancy Chesterfield, so we are going to bag this.
18. KIDS ACTIVITIES: Debbie reported we will have cookie decorating, sandy-candy art, Paint horse show with wooden horses and will be making WinterFest necklaces.
19. BOZEMAN LIONS CLUB: Sue reported they are planning to serve food and beer in the People Barn.
20. ALL STAR EXPO: No report.
21. CHILI COOK-OFF: Karlene reported they don’t want to be in building #4. Sue is going to talk with them because there is no other place they can have the cook-off.
22. CHILDREN’S ART SHOW: It’s a go. Still trying to find someone to take this over. Debbie will contact Mary Ellen Fitzgerald, Supt. of Schools, to see if she knows of anyone who would like to help with this.
23. QUILT SHOW: Karlene reported this is good to go. Flyers have been delivered to quilt shops.
24. PHOTOGRAPHY SHOW: No report.
25. HORSE SALE: This is good to go. Sue reported Headwaters Livestock have some assignments already. Lots of advertising out on this.
26. BATTLE OF THE BREEDS: Sue handed out information on this event. The preliminaries will be at the Fairgrounds on January 28. Top horses at the end of the day will compete for top honors at WinterFest. Just call the Fairgrounds to register. No entry fees.
27. AUTO ICE RACING: Debbie reported this is a go. She spoke with Marc Shepherd regarding their poster and having it approved prior to distributing.
28. RABBIT/POULTRY SHOWS: Good to go.
29. TACK SWAP: All we need is stock trailer to put the tack in.
30. WORKING HORSE & DRIVER CONTEST: Al would like this to be on Saturday. He feels having this on Sunday could lower the number of teams. She wants this event on Sunday because there is no other time available in the indoor arena. Sue and Al will work out the day.
31. KID’S FOOT & WHEEL CHAIR RODEO: Sue stated this event would move to building #4 so it’s warmer for the kids. Travis is trying to get the MSU Rodeo Team to help with this. Colombo’s Pizza is sponsoring this event by providing pizza.
32. BAHA HOCKEY TOURNAMENT: Good to go.
33. SCHEDULE OF EVENTS: Sue passed out the very tentative schedule of events. This will be printed on 11” x 17” paper and folded. It was suggested to try different symbols/bullets so it might be easier to distinguish between events. Sue is going to check on the cost of using color ink.
34. OTHER BUSINESS: Karlene stated Jessie Groeschen, the lady chainsaw carver could be here for WinterFest. A decision must be made soon if we are going to have her.
35. NEXT MEETING DATE: Our next meetings are January 12 & 26, and February 2 & 9. Future meetings will be in the Ag Center meeting room.
36. ADJOURNMENT: Meeting was adjourned at 8:25 a.m.
