January 27, 2005 Meeting

ATTENDANCE: Sue Shockley, Debbie Holwegner, Karlene Pisarcik, Darrell and Tammy Andersen, Joel Farrell, Lorna Simard, Al Lien, Sherri Sigvardt, Skip Hougland, Janalyn Larsen, Gary and Vicki Taylor, Cheryl McNicholas and George Chenoweth.
CALL TO ORDER: Darrell called the meeting to order at 6:00 p.m.
MINUTES: Remove one of Connie Garrett’s names off the attendance (she was on there twice). Joel moved to approve the January 20, 2005 minutes as corrected. Karlene seconded. Motion carried.
BUDGET: Nothing new to report.
MARKETING: Sue reported she met with Clear Channel and our radio spots will start the first week in February. Posters are finalized and Coke will print these for us. Still need tab articles ASAP.
DOG EVENTS UPDATE: Good to go. Gary Taylor is going to announce for this.
McLIEN’S FFA FARM BARN: Darrell reported all speakers are finalized and barn is ready except for a few gates. Still need paperwork from the Savory Olive if they are going to be cooking in the barn. The Brand Inspector will be here. The cannulated cow may still be coming. We will make and print two sets of the Farm Barn schedules to put on the 2’ x 4’ boards in the barn.
DOG PULLING CONTEST: Good to go. Coke is also taking our posters for this event around to places they deliver. Coors is making up the drink coupons for entries. Contestants receive two free drink coupons for each entry. Contestants can turn in drink coupons to Bozeman Lions and then Coors will reimburse the Lions Club.
BEVERAGE CONTEST: Debbie reported we have 15 entries. Deadline is tomorrow. She will begin scheduling judging times as soon as possible. The traveling trophy has been picked up from Gallatin River Lodge. Committee will be informed on judging times so anyone interested, may come along. Brett from the Zebra will serve the winning beverage.
INDOOR/OUTDOOR EXHIBITS: Karlene reported we have 50 indoor spaces taken and there could be more. At present, there are no commercial outdoor exhibitors.
KID’S ACTIVITIES: In an effort to keep this, Debbie will contact Jenny Francis at the Belgrade High School and see if the “FCCLA” would take care of this.
BOZEMAN LIONS: George reported he would contact the college students to see if they are interested in doing this. Last year not many people visited the people barn. George asked if the Lions Club could serve food and beer out of the indoor arena concessions instead of the People Barn. The Lions like the simplicity of working out of this concession area better than the People Barn. Sue stated she is waiting to hear back from the Posse because they may be doing concessions in the indoor arena. Sue has concerns about too many people being in the concession area during the horse sale. It was suggested the Lions serve only food and pop in this concession and keep the beer at the People Barn. Sue reported that Sara Vaessen asked for a bar to be set up to serve beverages during the
horse sale. All this is on hold till we find out what the Posse is going to do.
ENTERTAINMENT UPDATE: Montana Blue and Dancer Davis will be at the Cowboy Camp and during the evening meals, will be performing on stage in building #4. The Old Time Fiddlers are willing to come for a jam session. Sue will try to fit them in building #4 on Sunday. Miss Rodeo Montana will be at the Kids Bozeman Roundup Foot & Wheelchair Rodeo, along with the Knights of the Gallatin. Debbie will follow up on the balloon guy.
DECORATING AND SETUP: Sue and Al will work on the hay wagon route. Need a sign telling the kids to wait at the hay wagon pickup area. Sue will start hauling Al’s equipment Feb. 5. The Fairgrounds staff will put up the outside lights. The work program guys will help with putting together the quilt racks. We need help with taking entries on Thursday, Feb. 17 for the quilt and photography shows. We also need help displaying the children’s art. February 14, 15 & 16 will work on setting up Cowboy Camp and putting up the trees. We still need help with tack consignments on Friday and Saturday morning.
SCHEDULE OF EVENTS: The schedule was handed out for review. Some changes were made. Need to finalize as soon as possible.
AUTO ICE RACING: Bozeman Jaycees are doing their concessions but are not available to do the concessions for the ATV Ice Racing.
EVENTS THAT ARE GOOD TO GO, WHICH HAD NO FURTHER DISCUSSION AT THIS MEETING:
Chile Cook-Off, Ag in the Classroom, Cowboy Camp, ATV Ice Racing, Children’s Art Show, Quilt Show, Horse Sale, Photography Show, BAHA Hockey Tournament, Rabbit and Poultry Shows, Horse Play Day, Tack Swap, Working Horse & Driver Contest and the Kid’s Bozeman Roundup Foot & Wheelchair Rodeo.
OTHER BUSINESS: Gary Taylor suggested contacting the MT Fish, Wildlife & Parks and see if they would be available to bring their outdoor shooting gallery to WinterFest. Sue will follow up on this. Gary also mentioned that DG House, a Native American artist will be at the Cowboy Camp all three days painting and will be displaying some of her art.
