January 12, 2006 Minutes
As amended and approved at the January 26, 2006 Meeting
ATTENDANCE: Skip Hougland, Connie Garrett, Todd Saunders, Sue Shockley, Debbie Holwegner, Karlene Pisarcik, Gary & Vikki Taylor, Carter Benedict, Al Lien, Travis Burian, Harry Huntsinger, Rob Pertzborn, Betsy Heckel, Nancy Creel, Lorna Simard, Jim Borman, Blair Howze, Sonja Berg.
1. CALL TO ORDER: Connie called the meeting to order at 7:15 a.m.
2. APPROVAL OF MINUTES: Connie asked that MacKenzie River Pizza be taken out of the minutes as a sponsor under the Dog Keg Pull Contest. Karlene moved to approve the December 15, 2005 minutes as amended. Sue seconded. Motion carried.
3. FINANCIAL: Sue reported we are on target with our budget. A little more is being spent in advertising than in the past. We are way ahead in sponsorships.
4. MARKETING: Harry stated we have $12,000 in cash sponsorships and $4,000 in gift certificates, product and advertising trades. Harry and Travis are hoping for $20,000 in sponsorships. Connie stated the “countdown” ad began running in the Real Estate Weekly last week.
5. PET TRICKS and CONFORMATION: Karlene reported that she received their schedule from Melody Dirks and it is the same as last year. They will be in building #4 this year.
6. DOG KEG PULL CONTEST: Connie reported they are working on one more sponsor.
7. AG IN THE CLASSROOM: Todd was not present to report. Sue will follow up with Todd to make sure everything is okay for this.
8. McLIEN’S FFA FARM BARN: Skip said there would be six teams on display. The MSU dairy cow will be there. Skip is bringing in his cattle. Betsy will bring chickens and rabbits. Sue is still waiting to hear if FFA is going to help with this.
9. HAY SHOW: Skip reported he and Al have close to a dozen hay samples. These will be taken to the MSU lab tomorrow. They will have the hay results in 10 – 14 working days. Al stated they have $200 in prize money.
10. COWBOY GATHERING: Carter reported he has nine people from out-of-town to perform. Flyer is made. There will be cowboy poetry at the Cowboy Camp on Saturday afternoon. Carter has a singer to perform for the Saturday evening dinner in building #4. He is going to get packets ready for the poets, which will include a cover letter, tickets, buttons and meal coupon. There hasn’t been much input for the youth poetry for Friday afternoon. Sue and Carter will work out the details for the stage in the indoor arena.
11. WESTERN UNDERGROUND CONCERT: Gary reported he’s been busy talking about WinterFest and the concert on radio stations. Ticket sales are on track and hoping for a sell out. 350 posters have been distributed with 100 more to still put up. Gary is trying to arrange to have TV crews at concert. Invitations will go out for a VIP dinner for the sponsors. Dinner is at the GranTree from 4 – pm on Friday, Feb 17.
12. COWBOY INDIAN CAMP: Good to go.
13. HORSE PLAY DAY: Blair offered to help bag the candy and horse pellets.
14. OFFICIAL BEVERAGE CONTEST: Travis reported the bars are getting involved.
15. INDOOR/OUTDOOR EXHIBITORS: Karlene reported we have 31 indoor exhibitors, 5 outdoor exhibitors and 5 food vendors.
16. HORSIN’ AROUND DAY: Sue reported it’s coming together. Have added a new event called the Packers Scramble. Jim Borman is taking this project on. Looking for someone to replace Dr. Catlin’s clinic that he was going to do. Blair suggested a memorial sign be put up for Dr. Catlin.
17. KIDS ACTIVITIES: Good to go.
18. BOZEMAN LIONS CLUB: Sue is waiting to hear from them as to what they plan on having in the People Barn.
19. ALL STAR EXPO: Nancy reported this is Sunday evening in the indoor arena. She has an announcer this year. Nancy needs a small CD player.
20. CHILI COOK-OFF: This will be in building #4. Waiting for the entry form from them.
21. CHILDREN’S ART SHOW: Debbie reported Mary Ellen Fitzgerald is helping with the setup of this.
22. QUILT SHOW: Karlene reported this is good to go. Flyers have been delivered to quilt shops.
23. PHOTOGRAPHY SHOW: Lorna reported she would get the entry forms and information to the stores.
24. HORSE SALE: This is good to go. Sue reported Headwaters Livestock have some assignments already. Lots of advertising out on this.
25. BATTLE OF THE BREEDS: Sue handed out information on this event. The preliminaries will be at the Fairgrounds on January 28. Top horses at the end of the day will compete for top honors at WinterFest. Just call the Fairgrounds to register. No entry fees.
26. AUTO ICE RACING: Blair reported this is good to go. Mike’s Off Road and Renegade Off Road are sponsors. There is no admission fee this year for spectators.
27. RABBIT/POULTRY SHOWS: Betsy reported this is good to go. This will move to the Sale Pavilion.
28. TACK SWAP: Posters are done and need to be distributed to tack stores.
29. WORKING HORSE & DRIVER CONTEST: Al stated the entries went out. Still need to find a judge.
30. KID’S FOOT & WHEEL CHAIR RODEO: Travis reported the MSU Rodeo Team is getting involved with this.
31. PACKER’S SCRAMBLE: Jim Borman reported this event would be on Monday. He has three teams lined up already. Prizes will be awarded for 1 – 3 place. Still need entry form. Jim will work with Harry for sponsors for this event.
32. BAHA HOCKEY TOURNAMENT: Rob reported they have 16 teams this year. He gave schedule to Sue. They will have their usual hot tub, food concessions and beer. He will arrange to distribute the WinterFest button to the players.
33. SCHEDULE OF EVENTS: Sue asked that we look over the “very tentative” schedule and advise her of any changes.
34. OTHER BUSINESS: Jessie Groeschen, the chainsaw carver will be doing three carvings per day. Will probably need help with the admission gates. Nancy suggested having youth cross country sprint races, depending on the snow.
35. NEXT MEETING DATE: Our next meeting is January 26 at 7:00 am. We will be meeting at the Ag Center meeting room.
36. ADJOURNMENT: Meeting was adjourned at 8:22 a.m.
