Wild West WinterFest
January 26, 2006 Minutes
(as approved at the February 2, 2006 meeting)
                                                                                 

ATTENDANCE: Skip Hougland, Connie Garrett, Todd Saunders, Sue Shockley, Debbie Ehlert, Vicky Whitney, Carter Benedict, Travis Burian, Harry Huntsinger, Jim Boorman, Sonja Berg, Todd Kesner,  Brad Bell and Karlene Pisarcik.

1.      CALL TO ORDER:  Skip called the meeting to order at 7:13 a.m.

2.      APPROVAL OF MINUTES:  Skip said that it was Al Lien who reported there would be six horses on display in the Farm Barn and not himself.  Sue clarified that it was six horses and not six teams on display.   Sue moved to approve the January 12, 2006 minutes as amended.  Connie seconded.  Motion carried.

3.      FINANCIAL:  No report.

4.      MARKETING:  Travis stated we have $20,000 in sponsorships compared to the $1500 we had for last year.  Harry reported that we have 10,000 copies of the tab and we have received really good comments on it.  Skip asked if it was too late to get the Prairie Star and the Trader Dispatch involved.  Sue said she would check it out but that there may be a cost.

Sue had a meeting with the Chronicle and they were told that we already had a tab done.  They said they had to meet and discuss the issue and would call Sue later.  Sue received a fax stating “we are not going to be associated with WinterFest”.  We’ll wait and see if we get any coverage at all and if not Sue said we’ll pursue it.

5.      PET TRICKS and CONFORMATION:  Vicky stated that the program will be very similar to last year but there will be a few changes made.  There was a conflict last year with the race cars but that won’t be happening this year.  All in all everything is good to go.

6.      DOG KEG PULL CONTEST:  Good to go.

7.      AG IN THE CLASSROOM:  Todd reported that they have between 162 – 168 kids signed up so far and the deadline is February 13th.   All the classes are lined out.  A little coordination with the concert folks will be needed and Sue said she could arrange that.  Everything else is set.

8.      McLIEN’S FFA FARM BARN:  Al said there would be three teams of horses on display.  The MSU dairy cow will be there.  Skip is bringing in his cattle.  Betsy will bring chickens and rabbits.  Karlene will check with Vicki Cain and Pat Pinkston to see if they are bringing in sheep and goats as well as with Larry Kibbee for his chickens.   Sue will check with Janalyn to see if FFA is going to help in the barn.

9.      HAY SHOW:  Skip reported that all the hay samples have been collected and taken to the MSU lab.  Skip felt that Al had secured a judge already.  Machinery is all lined up.

10.     COWBOY GATHERING:  Carter played a 60 second ad that he had made for the Cowboy Gathering and it was fantastic!  Connie stated that there was no mention of the admission price in the ad only that “it was on us” and people might think that the entire event was free which could result in a problem at the gate.  He also passed out a pamphlet that he had designed and Sue said we could probably print them out but not on card stock.  Carter said that would be fine.  

11.     WESTERN UNDERGROUND CONCERT:  No report.

12.     COWBOY INDIAN CAMP:  Good to go.

13.     HORSE PLAY DAY:  Sonja stated she was trying to get an electric eye set up.  Sue said we would provide the horse pellets, candy and ribbons for this event.

14.     OFFICIAL BEVERAGE CONTEST:  Travis reported the entry forms are all out and we’re getting a good response.

15.     INDOOR/OUTDOOR EXHIBITORS & FOOD VENDORS:  Karlene reported we have 54 indoor exhibitors, 7 outdoor exhibitors and 7 food vendors. Skip asked that a food application be sent to Eric Stenberg who has agreed to cook his hamburgers.

16.     HORSIN’ AROUND DAY:  Preliminaries will be on Saturday, January 28th.  Committee will be having a meeting tonight.  Everything else is coming along.

17.     KIDS ACTIVITIES:  We will supply necklaces to make, cookies to decorate and small wooden horses to paint.  We have secured Judge Bruce Loble to do balloon animals on Saturday between 1pm – 3pm.  

18.     BOZEMAN LIONS CLUB:  No report.

19.     ALL STAR EXPO:  Good to go.
20.     CHILI COOK-OFF:  We received the entry form from Mary at XL Country and they have 8 entries so far.

21.     CHILDREN’S ART SHOW:   We have a few volunteers to help Mary Ellen Fitzgerald.

22.     QUILT SHOW:  Karlene has her helpers plus the pipe sections to hang the quilts have been requested.
23.     PHOTOGRAPHY SHOW:  We need more helpers.
24.     HORSE SALE:  80 horses have been consigned so far. The catalog will be here next Tuesday.  Peggy has worked really hard on this event and it should be a good one.

25.     AUTO ICE RACING:  Good to go.

26.     RABBIT/POULTRY SHOWS:  Good to go.

27.     TACK SWAP:  We need more “people power”.

28.     WORKING HORSE & DRIVER CONTEST:   We have one entry so far but more will come in soon.  Joel Farrell  is going to be running the event this year.  We need to get a judge.

29.     KID’S FOOT & WHEEL CHAIR RODEO:  MSU Rodeo team is getting involved but we need more volunteers.

30.     PACKER’S SCRAMBLE:  Jim reported that Linda did a great job on the posters.  Three teams have entered so far and the applications will be coming in soon.  Bar 3 BBQ is going to help sponsor and the judges are already lined up. There will be a $10.00 entry fee.

31.     BAHA HOCKEY TOURNAMENT:  Good to go.

32.     SCHEDULE OF EVENTS:   Sue said that everything is finalized on the schedule but there will be some additions made.

33.     OTHER BUSINESS:  Connie suggested having a sign-up sheet with time slots at the next meeting  which lists the events that require more volunteers.  She said we will have to concentrate on the needs for every event.   Todd Saunders suggested having a large screen TV available to broadcast the Olympics.
                                                 
34.     NEXT MEETING DATE:  Our next meeting is February 2nd at 7:00 am.  We will be meeting at the Ag Center meeting room.

35.     ADJOURNMENT:  Meeting was adjourned at 8:10 a.m.
