Wild West WinterFest
February 2, 2006 Minutes
(as Approved at the February 9, 2006 Meeting)
ATTENDANCE: Skip Hougland, Todd Saunders, Sue Shockley, Debbie Holwegner, Karlene Pisarcik, Deb Ehlert, Vicky Whitney, Carter Benedict, Harry Huntsinger, Phil Hamel, Jim Boorman, Sonja Berg, Todd Kesner, Al Lien and Gary and Vikki Taylor.
1. CALL TO ORDER: Skip called the meeting to order at 7:03 a.m.
2. APPROVAL OF JANUARY 26, 2006 MINUTES: It was corrected in #8 – McLien’s Farm Barn to read, “Al said there would be three teams of horses on display”. Sue moved to approve the January 26, 2006 minutes as amended. Debbie Holwegner seconded. Motion carried.
3. MARKETING: Harry reported the sponsorships are going real well. He explained the benefits of the Event Guide and how it helps the Fairgrounds. The Event Guide made $500 for the Fairgrounds. The Event Guide has been distributed at Big Sky, Ennis, Three Forks and Belgrade. They have also been placed at strategic locations where people sit. The horse sale catalog is paid for thru ads and is being printed. The concert book cost $3,000 to put together and Harry and Travis received $5,000 in ad sales. The concert book will go to print next week. They have raised almost $30,000 in sponsorships thru cash, ads and product.
Sue played the 30-second TV commercial that will appear on KBZK and KTVM TV. She mentioned some small changes were made to it.
4. PET TRICKS and CONFORMATION: Vicky reported she has her help lined up and they are ready to go. She will let us know what is needed for ribbons. They will need three tables, chairs and a PA in building #4.
5. DOG KEG PULL CONTEST: Todd reported they are ready to go. Flyers have been put up including West Yellowstone, however no one would let them put up any banners. There was an error in the Event Guide for their sponsors for this event, so Todd has been sending letters of apologies. Information was given to the MSU Exponent and Todd’s hoping they will put it in their paper.
6. AG IN THE CLASSROOM: Todd reported he has around 200 students attending so far. His speakers are confirmed. He will work with Sue on sound. Todd asked if 4-H Woodworking could display their toolboxes that they made in an exhibit building. Skip suggested putting the display in the Farm Barn. Todd will help with this setup.
7. McLIEN’S FARM BARN: Al reported he has four drivers for the wagon. He will bring in the wagons the first part of WinterFest week. Still need to haul equipment in. The barn is ready for setup. The barn will have four teams of horses, baby miniature donkeys, MSU dairy cow/calves, Geronimo – the giant horse, Highland cattle/calves, turkeys, chickens and rabbits. Vicki Cain is bringing in Shetland sheep on the 16th and will need four pens. Pat Pinkston is bringing in fainting goats, Angora goats and Pigmy goats and needs three small wire pens. Sue and Phil will draw up the Farm Barn layout.
8. HAY SHOW: Skip reported the eleven hay analyses are done. MSU gave us a 20% discount off the cost. Skip would like to have each hay analysis information put on 8 ½ ” x 11” paper and displayed with each sample. Sue mentioned that we have boxes for displaying the samples. Sue has called three people for judging but hasn’t heard back from them. Sue will follow up on judges. Hay should be judged prior to the start of WinterFest.
9. COWBOY GATHERING: Carter stated this has turned out well and will be a great addition to WinterFest. Carter also complimented Vikki Taylor on the meal she prepared for the Foundation dinner.
10. WESTERN UNDERGROUND CONCERT: Gary reported he has been blasting WinterFest and the concert on radio stations. Pete with XL Country will be at the Fairgrounds on Friday with a live remote for the concert from 3pm till 7pm. There is a good chance that concert tickets will be sold at the gates. The National Guardsmen will be admitted for the student rate.
11. COWBOY INDIAN CAMP: Good to go.
12. HORSE PLAY DAY: Just need to put together the candy and pellet bags.
13. OFFICIAL BEVERAGE CONTEST: Harry reported they are trying to get about 20 bars involved. Following are the bars already entered: The Bay, Rocking R, Mixers, Crystal, Cannery, Poorhouse, Spectators, Bucks T4, Corral, Milkys Pizza & Pub, Old Chicago, Santa Fe Reds and the GranTree Bar & Grill.
14. INDOOR/OUTDOOR EXHIBITORS & FOOD VENDORS: Karlene reported we have 60 indoor exhibitors, 7 outdoor exhibitors and 7 food vendors.
15. HORSIN’ AROUND DAY: Preliminaries had nine riders. The second preliminary will be on Saturday, Feb. 11. Sue has clinicians pretty well lined up.
16. KIDS ACTIVITIES: Debbie reported we still need volunteers to help with this.
17. BOZEMAN LIONS CLUB: No news.
18. ALL STAR EXPO: Good to go.
19. CHILI COOK-OFF: They have 10 entries and are limiting the entries to 15.
20. CHILDREN’S ART SHOW: Good to go.
21. QUILT SHOW: Good to go.
22. PHOTOGRAPHY SHOW: Lorna still needs some help for this.
23. HORSE SALE: They have 87 consignments. Catalog will be here this Friday. Good to go.
24. BATTLE OF THE BREEDS: Already covered.
25. AUTO ICE RACING: There is no admission charge for this. Good to go.
26. RABBIT/POULTRY SHOWS: They need five tables in the Sales Pavilion on the 17th. Good to go.
27. TACK SWAP: Posters have been distributed.
28. WORKING HORSE & DRIVER CONTEST: Still looking for a judge.
29. KID’S FOOT & WHEEL CHAIR RODEO: Good to go.
30. PACKER’S SCRAMBLE: Jim reported there are four teams already. They will have a meeting prior to the event and ask the contestants to help with the setup.
31. BAHA HOCKEY TOURNAMENT: Public skating on Friday from 9am – 12pm. Good to go.
32. SCHEDULE OF EVENTS: Goes to print today.
33. OTHER BUSINESS: Harry invited committee members to the VIP dinner being held for sponsors. The dinner is at the GranTree, Friday – Feb. 17 from 4pm – 6pm. Western Underground will be there. An invitation is going out to sponsors. Please RSVP. Sue mentioned that setup would begin next week. We can use lots of help.
34. NEXT MEETING DATE: Our next meeting is February 9th at 7:00 am. We will be meeting at the Ag Center meeting room.
