Wild West WinterFest Minutes
January 3, 2008
(as Approved at the January 17th Meeting)
ATTENDANCE: Sue Shockley, Debbie Holwegner, Skip Hougland, Karlene Pisarcik, Al Lien, Jim Boorman, Kevin Joyce, Debbie Ehlert and Cindy Conner.
1. CALL TO ORDER: Skip called the meeting to order at 7:10 a.m.
2. APPROVAL OF MINUTES: Karlene moved to approve the December 20, 2007 minutes as presented. Jim seconded. All in favor. Motion carried.
3. AG IN THE CLASSROOM: Sue stated she spoke with Al Lien and he thought there was enough time to get this put together and information sent to schools. Al has made contacts with enough people to fill about 2 ½ hours. Sandra Fiegi would do a chicken and rabbit demonstration, Gretchen Fellerhoff-White could do something with her sheep and Roxanne Lindermann could do a stock dog demonstration. We could also have a demonstration from 4H Livestock. Information will need to be sent to schools immediately.
4. PACKERS’ SCRAMBLE: Jim gave Sue a copy of the new rules that had a few minor changes from last year. There will be more emphasis on packing this year. Jim confirmed that the Nine Mile Mule String could not be present for WinterFest however; Shane McClaflin of Belgrade has agreed to do the packing demonstration and announcing for this event in exchange for being allowed to hang his banner in the indoor arena during WinterFest. Entries must be received at the Fairgrounds Office by February 11th to receive the free admission passes being given to the contestants. There will be a limit of six teams in each class. This event will be at 7:30 p.m. Friday evening. Needed for this event is: 15 Christmas trees, 12 bales of straw,
24 bags of feed and 12 blocks of salt. Last year Murdoch’s donated the feed and salt. Jim said he would need about 30 minutes to setup up in the indoor arena. Jim asked that the panels do not be put up along the east side of the arena by the bleachers. Jim stated horses had been tied to the panels in the past. Sue stated the panels needed to be there and horses could not be tied to these panels. Sue and Jim will figure out the best way and place to tie the horse.
5. ELK BUGLING CONTEST: Debbie H. reported she is waiting to hear back from Ted Krauss with Yellowstone Gateway Sports to see if they would be interested in sponsoring and helping with this event again this year.
6. PET TRICKS: Debbie H. received an email from Nancy Tanner verifying that this event would be on Sunday in building #1. Registration is from 10:30 a.m. to 11:30 a.m. The pet tricks, puppy parade and freestyle would continue from 11:30 a.m. to 2:00 p.m. Nancy needs ½ hour prior to event for setup and ½ hour afterwards to take down.
7. DOG CONFORMATION: Debbie H. reported Vicki Whitney is waiting to hear back from Mary McShane to see if she will organize this event in Vicki’s absence. At this point, we do not know if there will be dog conformation or not for WinterFest.
8. FFA/McLIEN’S FARM BARN: Al was concerned about the way the panels were setup in the past in the barn. Debbie suggested Al meet with the operations staff regarding any setup concerns that he might have. A meeting was scheduled at the Holiday Inn for Thursday, January 10 at 11:30 a.m. to discuss the farm barn.
a. Hay Show: Karlene stated that so far, we only had two entries. Kevin said he was still going to enter. Sue said she went to the Ag Irrigators meeting on December 20th but no one was there. Al said that meeting was actually the 21st. Skip and Al said they would make a few calls to stir up some more interest so Sue is going to bring a list of last year’s hay entries to the special meeting.
b. 4H Cattle Show: Fairgrounds has received four entries and Kevin stated he would have a few more. The show will be the same as last year and Kevin will get the judges.
c. Animals/Livestock: We have cattle, the petting zoo, rabbits, sheep, alpacas, pigeons and a mama pig with her piglets. Kevin will bring in three goats and Al is going to bring in a Jersey cow with calf and will do “name a calf” contest again. Skip is bringing in miniature donkeys and Charlie. Sue said she would or else find someone who could bring in a horse or two.
d. Demonstrations: Karlene stated that Gretchen Fellerhoff-White could do a spinning demonstration. Kevin will follow up on livestock demonstrations.
e. Livestock Barn 2 Setup: A separate meeting was scheduled at the Holiday Inn for Thursday, January 10 at 11:30 a.m. to discuss setup.
9. DOG KEG PULL: This event looked good to go. Karlene has contacted the following businesses who have agreed to sponsor this event again this year. They are West Paw, Bridger Feeds and possibly Sportsman’s Warehouse. Karlene thought that Kenny Hess would also sponsor with his Royal Canin dog food. Libby and other Bridger Feeds employees, along with Kenny Hess and Rob and Cara Greger will be helping with this event.
10. DOG AGILITY: Cindy Conner reported that the dog people are hoping for warmer weather so that there will be plenty of dogs participating. They would like the bleacher setup on the north end of livestock barn 1. Following is their activity schedule: Friday 6pm – 8pm Agility Demo; Saturday schedule is 11:30am – 1:30pm will be agility; 1:30pm – 2:30pm is the teacup; and 2:30pm – 3:30pm is fly ball. Cindy said they are still working on filling Rally-O which will be on Saturday from 10:30am – 11:30am.
11. ALL STAR DOG EXPO: Sue said that Nancy is good to go and only have to schedule the day and time for this. The indoor arena availability is pretty slim.
12. RABBIT/POULTRY SHOWS: Sue stated she saw Sandra Fiegi and they are still working on the show.
13. BAHA HOCKEY TOURNAMENT: Debbie H. said she received an email from Rob Pertzborn stating that he is working diligently on the tournament. Debbie emailed him the new logo.
14. WORKING HORSE & DRIVER CONTEST: Sue said this event is good to go.
15. HORSE SALE/STALLION AUCTION: Sue said she thought this was a go. Talked to Misty Radue and the horse sale was almost full before Christmas.
16. BATTLE OF THE BREEDS: Sue said this was good to go. The first preliminary is coming up on Sunday, January 27.
17. CHILI COOK-OFF: Sue said this event with KMMS would be bigger and better than last year.
18. KIDS ACTIVITIES/RODEO: Sue reported she met with Kwinci with the Bridger Mountain High School Rodeo Team and their group is going to do the kids activities. They will be doing cookie decorating, necklace making, roping, stick horses, the bucking barrel and face painting. Kwinci is trying to find a bullfighter to be present on Saturday so that the kids can get their picture taken with him. The kids activities will be scheduled certain times for each day.
19. CHILDREN’S ART SHOW: Debbie H. said the mailing for this has gone out. Mary Ellen Fitzgerald will be taking entries on Wednesday and Thursday following through with setup.
20. QUILT SHOW: Karlene said this is good to go. Entries will be taken on February 13 and 14.
21. PHOTOGRAPHY SHOW: Karlene said this is good to go. Entries will be taken February 13 and 14.
22. COMMERCIAL EXHIBITORS/FOOD VENDORS: Karlene stated we currently have about twelve commercial exhibitors and the food vendors are good to go. Sue said the fire department inspected the People Barn and found it to be structurally unsound with numerous other issues with this building. They condemned the People Barn so now people cannot be in this building. There is no other place for the Lion’s Club to go, unless they would be willing to go outside in a wall tent. Sue will contact the Lion’s Club to discuss their option. It was suggested to contact the National Guard and inquire about using one of their tents.
23. ENTERTAINMENT:
a. Bozeman Jaycees Herby Derby: Sue talked to Mark Figgins and this is good to go. This will be a free event and will be on Sunday in the outdoor arena. Entries taken at 10:30 a.m. with the event beginning at 11:30a.m.
b. Mountaineer’s Ice Bog Contest: Sue said this will be on Sunday and Sue still needs to get a contract out to the Mountaineers.
c. Hip-Hop Hoe Down Dance and Dance Contest: Sue said this will be more of a youth dance on Friday evening with Cody Myers as the DJ. Breaking Pointe Dance Academy will be performing some dance demonstrations.
d. Murdoch’s Carhartt/Sweetheart Barn Dance: Sue said this was on Saturday evening and is good to go.
e. Miniature Bull Riding: Sue said we are most likely having this event would be after the horse sale on Saturday. This event will also have free admission. We are now doing the mailing and taking entries. Sue mentioned that the fee for this has almost doubled from last year at $3,000. This price includes 20 bulls and the bullfighter. We need to consider that we will only have to get half the amount of prizes because this time, there will only have one age group (14 yrs. & under). There are still pending questions as to who pays for the judges.
f. Stage Entertainment in Building #1: Sue said there is still a few time slots to fill on Saturday and is still looking for entertainment for these time slots. It was suggested to contact the Gallatin Valley Men’s Chorus.
24. OTHER BUSINESS:
a. WinterFest Setup: Working on this. We won’t be able to begin setting up the exhibit buildings until they are cleaned after the sports show.
b. Cowboy Church: Karlene said Clark Mueller is waiting to hear confirmation that he is to do Cowboy Church on Sunday at 10:00 a.m. Sue will contact Clark.
c. Skip requested to have a special meeting to discuss the WinterFest budget with numbers representative of anticipated expenses and revenues. He also wanted to discuss the Farm Barn. This lunch meeting is scheduled for Thursday, January 10 at 11:30a.m. at the Holiday Inn.
25. NEXT MEETING DATE & TIME: January 17 at 7:00 a.m. at the Fairgrounds office.
26. ADJOURNMENT: Jim moved to adjourn at 7:55 a.m. Debbie E. seconded. All in favor. Meeting adjourned.
