Wild West WinterFest Minutes
January 17, 2008
(as Approved at the January 31, 2008 Meeting)
ATTENDANCE: Sue Shockley, Debbie Holwegner, Skip Hougland, Karlene Pisarcik, Al Lien, Jim Boorman, Kevin Joyce, Anne Dixon, Marc Shephard and Blair Howze.
1. CALL TO ORDER: Skip called the meeting to order at 7:12 a.m.
2. APPROVAL OF MINUTES: Karlene moved to approve the January 3, 2008 minutes as presented. Al seconded. All in favor. Motion carried.
3. BUDGET: Skip reported the budget/farm barn group met and discussed the potential profit and loss of WinterFest. The group discussed things to generate revenues and ways to cut down on expenses. We are hoping and expecting to make a profit this year. Sue stated she hired Todd Suedel as the sponsorship person so this will help with our profit. Todd will begin contacting sponsors immediately.
4. AG IN THE CLASSROOM: Skip said all the bugs were worked out at our budget/farm barn meeting and this is good to go. Sue said letters to the schools had gone out and they would have until February 6 to respond to whether they are attending or not.
5. PACKERS’ SCRAMBLE: Jim reported it’s looking real good. Warren Johnson will be the judge for the scramble and can also judge the elk bugling contest. Shane McClaflin will announce. Debbie stated that Ted Krauss with Yellowstone Gateway Sports has two judges for the elk bugling as well.
6. ELK BUGLING CONTEST: Debbie H. reported that Yellowstone Gateway Sports is going to sponsor this event again.
7. PET TRICKS: Good to go.
8. DOG CONFORMATION: Anne Dixon stated she thought this was good to go. Mary McShane is organizing this in Vicki Whitney’s absence.
9. FFA/McLIEN’S FARM BARN:
a. Hay Show: Karlene said we have received 17 entries which is more than last year. Samples have already been taken by MSU to analysis.
b. 4H Cattle Show: Kevin said he would get the judges. Karlene said we have received 6 entries so far. Jake Callantine can bring up to a dozen cattle if need be. There will be plenty of room for the cattle in the barn.
c. Animals/Livestock: No new update. The barn should have plenty of animals.
d. Livestock Barn 2 Setup: Nothing new to report.
10. DOG KEG PULL: Karlene stated that Kenny Hess’ wife would not be available to announce. Karlene has a call into Kenny to see if he knows someone who might do the announcing.
11. DOG AGILITY: Anne Dixon reported this event was good to go. Need to take off the word “open” from agility on the schedule. There has not been enough interest for rally. Anne requested that the doors on the north side of livestock barn #1 have the snow removed to make entry easier. Also would like straw bales along the wall of the east alley and bleachers on the east wall. The schedule is as follows: Friday – same as last year; Saturday 10:30 – 11am setup, 11-1:30pm agility, 2-3pm teacup and 3-4pm fly ball.
12. ALL STAR DOG EXPO: Good to go. This will be on Sunday afternoon in the indoor arena.
13. RABBIT/POULTRY SHOWS: Good to go.
14. BAHA HOCKEY TOURNAMENT: No new report.
15. WORKING HORSE & DRIVER CONTEST: Al stated there were a few details to be worked out. There are 12 entries so far.
16. HORSE SALE/STALLION AUCTION: Good to go.
17. BATTLE OF THE BREEDS: Sue said there was a meeting at noon today for this. The first preliminary is scheduled for January 27. We have 11 entries so far.
18. CHILI COOK-OFF: Good to go. Karlene said she spoke to Mary at KMMS and she would like to have the music playing again this year during their event.
19. KIDS ACTIVITIES/RODEO: Good to go.
20. CHILDREN’S ART SHOW: Debbie H. said she thinks everything is good to go but will contact Marry Ellen Fitzgerald to make sure.
21. QUILT SHOW: Good to go.
22. PHOTOGRAPHY SHOW: Good to go.
23. COMMERCIAL EXHIBITORS/FOOD VENDORS: Karlene stated we currently have 19 indoor exhibitors and one outside. The food vendors are all taken care of.
24. ENTERTAINMENT:
a. Bozeman Jaycees Herby Derby: Sue said this did not pan out so we will not be having this event.
b. Mountaineer’s Ice Bog Contest: Marc Shephard reported they were doing this event, but had received information saying Saturday was not a good day because of the horse sale. Sue asked if they could move this event to Sunday. Blair and Marc will look and decide on the location being either the outdoor arena or the motorsports arena. Basically all they need are berms and places for people to sit. Entries will be taken at 11:30am and the race will start at 1pm.
c. Hip-Hop Hoe Down Dance and Dance Contest: Good to go.
d. XL Country Carhartt-Sweetheart Barn Dance: Good to go.
e. Miniature Bull Riding: Good to go except for judges. Sue is contacting Mike True for this.
f. Stage Entertainment in Building #1: Jim suggested contacting the Gallatin Valley Men’s Chorus.
25. OTHER BUSINESS:
a. Cowboy Church: Karlene will contact Clark Mueller to verify that he is doing cowboy church on Sunday.
b. Kevin will get the email address of the state extension to Sue so we could put an article in their newsletter which goes out the 1st of February.
c. Sue said she still needs articles for the tab as soon as possible.
26. NEXT MEETING DATE & TIME: January 31 at 7:00 a.m. at the Fairgrounds office. Posters will be ready to pick up.
27. ADJOURNMENT: Jim moved to adjourn at 7:55 a.m. Debbie E. seconded. All in favor. Meeting adjourned.
