Wild West WinterFest Minutes
February 7, 2008
(as Approved at the February 21, 2008 Meeting)
ATTENDANCE: Sue Shockley, Debbie Holwegner, Skip Hougland, Karlene Pisarcik, Al Lien, Jim Boorman, Kevin Joyce, Debbie Ehlert, Gretchen Fellerhoff-White and Sonja Berg.
1. CALL TO ORDER: Skip called the meeting to order at 7:10 a.m.
2. APPROVAL OF MINUTES: Kevin Joyce stated he was present at the last meeting but did not see his name on attendance. Debbie will note in the minutes that Kevin was present at the January 31, 2008 meeting. Sue moved to approve the January 31, 2008 minutes as amended. Kevin seconded. All in favor. Motion carried.
3. SPONSORSHIPS: Sue reported that Todd’s doing an excellent job especially since he has only been doing this since January 16th. He has received close to $12,000 in cash sponsors (this does not include the barter sponsors).
4. AG IN THE CLASSROOM: Karlene reported only two schools have responded so far. Karlene was told many schools wait until the last minute to respond. It was questioned whether or not to still have this with just 60 kids. The general consensus of the committee was to have this event regardless of the number of kids that were going to attend. Sue said she would like to try something different next year and have this on Saturday.
5. PACKERS’ SCRAMBLE: Jim reviewed a few questions he had making sure his needs for this event were taken care of. So far, the office has received four entries for the professional class and two entries for the amateur class. Lee Hart and Rob Arnaud will be the judges. Shane McClaflin is doing the packing demonstration and also the announcing for this event.
6. ELK BUGLING CONTEST: Good to go.
7. CANINE TALENT COMPETITION (pet tricks): Good to go. They will be setting up at 9:00 a.m. on Sunday in building #1.
8. DOG CONFORMATION: Good to go.
9. FFA/McLIEN’S FARM BARN:
a. Hay Show: Karlene reported that MSU’s analysis machine broke. Alison Todd, manager of the MSU Animal & Range Sciences Nutrition Center Lab, said she is hopeful that they will get the machine up and running this week and then Dennis Cash will come over to finish it up. Plan B if the machine doesn’t get fixed is to just display the hay with sign explaining why the hay did not get analyzed.
b. 4H Cattle Show: Kevin said this is good to go. The office has received entries from eleven kids bringing in 19 cattle. Kevin stated last year there were only 8 – 10 cattle. Sue said the kids would receive ribbons and she has gift certificates for first place in the heifer and steer classes. Skip said his business “Bridger Mountain Scottish Highlanders” would also donate some gift certificates.
c. Animals/Livestock: Should have a full barn. The AGR guys are helping feed and clean the barn however they need instructions on what each animal should be fed and/or any other duties needed to be done in the barn. Sue asked that anyone having animals on display in the farm barn get their “needs list” to her as soon as possible so she could have this ready for the AGR guys when they showed up to help in the barn. Deb E. is going to contact AGR again to see if they can also help with the unloading of animals in the farm barn on Thursday, Feb. 14 from 3p.m. – 5p.m.
d. Livestock Barn 2 Setup: The barn setup was reviewed to make sure nothing was being overlooked.
10. DOG KEG PULL: Karlene said she called two people from Manhattan that has been to the keg pull before to see if they could announce. She is waiting to hear back. Otherwise this event is good to go.
11. DOG AGILITY: Good to go.
12. ALL STAR DOG EXPO: Good to go.
13. RABBIT/POULTRY SHOWS: Good to go.
14. BAHA HOCKEY TOURNAMENT: Debbie H. said Rob came in and purchased 340 three-day tickets for the hockey players.
15. WORKING HORSE & DRIVER CONTEST: There are 21 entries so far. Sue has helpers for this event all lined up. Sue will pick up the white posts.
16. HORSE SALE/STALLION AUCTION: Catalogs are available at the Fairgrounds office.
17. BATTLE OF THE BREEDS: Sue reported that the last preliminary went well. There will be 16 different breeds represented at the finals.
18. CHILI COOK-OFF: Good to go.
19. KIDS ACTIVITIES/RODEO: Good to go. Kwinci will be in Wednesday afternoon to begin setup.
20. CHILDREN’S ART SHOW: Good to go.
21. QUILT SHOW: Good to go. Have received 9 entries so far.
22. PHOTOGRAPHY SHOW: Good to go. Linda has her helpers all lined up.
23. COMMERCIAL EXHIBITORS/FOOD VENDORS: Karlene stated exhibit building #2 is full with exhibitors. Outside exhibitors are mostly cars, trucks and trailers.
24. ENTERTAINMENT: This is good to go. The Fairgrounds Foundation is doing BINGO on Friday and Saturday.
25. OTHER BUSINESS:
a. GATES: Deb E. is working on filling the shifts. There are 21 shifts left to fill.
b. WINTERFEST SETUP: Good to go
c. CONTESTANTS: There was a small discussion on contestants paying admission. Sue moved that next year, all contestants will pay admission to come in. Jim seconded. All in favor. Motion carried.
d. VOLUNTEERS: There was discussion on volunteers receiving free admission passes. Sue moved that anyone who volunteers receive an event pass. Sonja seconded. More discussion. Sue withdrew her motion. Sue moved that volunteers either get credit on their account or an event admission pass. Jim seconded. All in favor. None opposed. Motion passed.
26. NEXT MEETING DATE & TIME: February 21 at 7:00 a.m. at the Fairgrounds office. This is the good, bad and ugly meeting where committee members review the events while they are still fresh in their minds.
27. ADJOURNMENT: Meeting adjourned at 8:05 a.m.
