05/15/08 WinterFest Minutes
Wild West WinterFest
May 15, 2008 Minutes
(as Approved at the August 21, 2008 Meeting)

ATTENDANCE:  Skip Hougland, Sue Shockley, Debbie Holwegner and Sonja Berg.

1.       CALL TO ORDER: Skip called the meeting to order at 7:12 a.m.  Skip stated there was no real reason to go through the entire 27 items on the agenda when no one was present to report.  He left the meeting open for those in attendance who wanted to discuss any item on the agenda.  Following are the items that were discussed.

2.      APPROVAL OF MINUTES:  Sue moved to Approve the February 21, 2008 and March 20, 2008 minutes as presented.  Sonja seconded.  Motion carried.

3.      PROFIT/LOSS REPORT:  A detailed profit and loss report was available for review.  Sue stated the bottom line for revenues for WinterFest were $10,412.18.  There were still a few businesses that needed to pay their sponsorship.  Next year Todd Suedel will have more time to get cash sponsorships which will increase the revenues for WinterFest.  Sue mentioned that the Fair Board approved doing WinterFest in 2009.

Ag in the Classroom:  Sonja suggested advertising this more directly to the schools in an attempt to increase participation.  Sonja thought we needed to get it on their school schedule earlier in the year.

Headwaters Horse Sale:  Sue mentioned that Misty Radue is willing to do this again.

BAHA Tournament:  Organizers for the tournament will address any issues that happened during WinterFest.  They will continue with their tournament for 2009.

Chili Cook-Off:  Sue will meet with the organizers of this event to discuss the alcohol issue.

Tack Swap:  Skip said he had several people inquire about the tack swap and we should consider bringing it back.  Skip asked that this item be put on the agenda so we can discuss possibly having this again in 2009.

Battle of the Breeds:  Sonja said she would like to see more breeds represented.

OTHER BUSINESS:  Sue mentioned that WinterFest meetings are not very well attended.  If might be better to meet in smaller groups with the people organizing events for WinterFest and then only meet every two to three months for the regular committee meeting.  We could keep everyone on the committee updated through emails.  Skip, Sue & Debbie will meet to discuss smaller groups vs. regular committee monthly meetings.

NEXT MEETING DATE & TIME:  The next regular meeting is scheduled for August 21, 2008 at 7:00 a.m. at the Fairgrounds meeting room.

ADJOURNMENT:  Sue moved to adjourn at 7:35 a.m.  Sonja 2nd.
